Time Off Requests

Time off requests are requests to ensure that no shift assignments are made on certain days or times of day. These are similar to time off reasons, but they differ from time off assignments (approved time off requests). There are two ways in which time off requests can be submitted:

  1. Employees can submit their own time off requests through any employee remote access application if permitted by the Employee Access Settings.

  2. The Daily View by Employee and Calendar View by Employee let you submit time off requests for certain employees on certain days.

While you can use the Daily View by Employee and Calendar View by Employee to view all time off requests, you can also use the Time Off Requests list under the Activities tab or the Time Off Requests box in the Scheduler Dashboard to view time off requests.

When a time off request is submitted, its processing status is set to Pending. When a time off request is approved, its status is set to Approved and a time off assignment is automatically created. If a request is rejected, its status will be set to Rejected and no time off assignment will be generated. Time off requests for multiple consecutive days can be submitted as one request, but each requested day must be approved individually.

Processing time off requests from the Daily View by Employee and Calendar View by Employee

Time off requests, along with their color-coded time off reasons, are shown in the Daily View by Employee and Calendar View by Employee. The following processing status icons are displayed in the upper right hand corner of each time off request cell:

   Pending
   Approved
   Rejected

Double-clicking on a time off request will allow you to edit, approve, or reject the request. Alternatively, right-click and select an option from the Time Off sub-menu.

Processing time off requests from the Scheduler Dashboard

The Time Off Requests item (under Pending Approvals) in the Scheduler Dashboard and under the Activities tab shows a list of all time off requests. Double-clicking on a time off request will allow you to edit, approve, or reject the request.  In the process of reviewing a time off request, Snap Schedule 365 will also show you if the employee currently has a scheduled shift assignment on the date for which they have requested time off, and if so will give you options to reassign the shift (by selecting an employee for the shift), convert it to an open shift opportunity, delete the shift assignment, or take no action.
