Scheduling Overview

After you define most of your schedule data (specifically employees, shifts, and locations), you need to make all of that data useful in some way. Snap Schedule 365 lets you do many things with this data, but scheduling should be the primary use. Once you have set up a schedule, you can schedule individual employees by using the simple drag-and-drop interface found in any of the eight schedule views and can also schedule teams of employees using the advanced auto-scheduling feature to generate shift assignments automatically based on a schedule plan. Using both of these methods when appropriate will significantly decrease the amount of time and frustration of scheduling employees.

Drag-and-drop scheduling

You can use the Daily View by Employee to assign both shifts and time offs to employees in a spreadsheet-like format, where employees are listed in the leftmost column and days across the topmost row.

You can use the Daily View by Shift to assign employees to shifts in a spreadsheet-like format, where shifts are listed in the leftmost column and days across the topmost row. Unlike the Daily View by Employee, the Daily View by Shift shows total assigned, on-call, and work hours and allows you to select an employee for a shift.

You can use the Shift View to assign employees to shifts and create open shifts based on a required employee position in a tabular format, where all of your shifts are listed across the topmost row and employee count reference numbers are listed in the leftmost column. All employees assigned to a particular shift appear underneath the shift. Unlike the Daily views, the Shift View provides you with a shift coverage planner and allows you to enter shift requirements for individual shifts. You can also select an employee for a shift exactly like in the Daily View by Shift.

You can use the Calendar View by Employee to assign both shifts and time offs to employees in a spreadsheet-like format similar to that of the Daily View by Employee. Clicking on any active employee listed in the leftmost column will display a different monthly calendar.

Task Scheduling

Both drag-and-drop and auto scheduling utilize employees and shifts to make the scheduling process much quicker. Snap Schedule 365 allows you to make your shifts more specific by letting you schedule tasks within those shifts. After one or more shifts have been assigned, you can assign tasks to the shift(s) within the Task View by Employee or Task View by Task.  You can also reassign existing tasks to other qualified employees and can even use the employee task graph to compare the number of employees currently working and the number of tasks assigned in each time block.
